UGC usage-rights renewal email templates

A useful renewal email names the asset, current expiry date, requested decision, extension term, and price. Keep the tone operational: confirm whether usage will stop or continue instead of opening with an accusation.

Before sending

  1. Check the signed term and exact asset.
  2. Confirm current live links or campaign status.
  3. Choose extension duration, platforms, territory, and price.
  4. Send before expiry, then record the reply and next action.

30-day renewal check-in

Subject: [Asset/campaign] usage rights end on [date] Hi [Name], Quick heads-up that the agreed usage period for [asset/campaign] ends on [date]. Would your team like to stop usage at the end of the term or extend it for another [30/90/180 days]? The extension would be [price] for [platforms/territory]. If you want to continue, I can confirm the new dates in writing. Thanks, [Your name]

Short follow-up

Subject: Re: [Asset/campaign] usage renewal Hi [Name], Following up before the [date] expiry. Should I mark the license as ending, or prepare the [duration] extension at [price]? Thanks, [Your name]

Expired usage clarification

Subject: [Asset/campaign] usage term ended on [date] Hi [Name], My records show the agreed usage term for [asset/campaign] ended on [date]. I noticed the content may still be active on [platform/link]. Can you confirm whether the campaign has stopped or whether your team wants an extension? The proposed extension is [price] through [new date]. I’m happy to resolve the record quickly. Thanks, [Your name]

What not to write

Do not claim infringement before checking the agreement and current facts. Avoid vague messages such as “checking in” with no expiry date, decision, or price. Never invent a deadline that conflicts with the contract.
